New Hire Payroll/On-Boarding Process

Welcome to the Virginia Tech Rec Sports family! Once you are officially offered a position and before you start training/working within the department, please complete the following steps based on your current status to finalize your payroll and on-boarding. 

 

STATUS 1

If you have NEVER worked on Virginia Tech’s campus nor received a paycheck from the university in any form (stipend, wage payment, etc.) in the past year, please complete the following steps:

  1. Each new employee at the university is required to present legal identification documents as proof of employment eligibility in the United States. Please review the Employment Eligibility I-9 Approved Documents PDF to ensure you bring the correct identification documents to your in-person payroll meeting. Please follow these steps:

a. Print and complete the PDF and fill out Section 1 only (Pg. 1). Please bring this filled out form to your in-person payroll meeting. Section 2 (Pg. 2) on the PDF is not applicable does not need to be completed.

b. As you review Pg. 3 of this PDF, please note that you must be able to provide EITHER one (1) item from "List A" OR one (1) item from "List B" AND "List C". Any documents you present at your payroll meeting MUST be the original documents. Photocopies, pictures, or verbal responses will NOT be accepted for any identification document. Please make arrangements to have these documents with you in-person by the time of your scheduled payroll meeting.

2. Please download, print, and complete (read and sign all sections) the New Employee Information Form and bring it to your in-person payroll meeting.

3. Please sign up for a payroll meeting time HERE once you have the documents listed above with you in-person for your payroll meeting. All payroll meetings will be held in 142A McComas Hall. Please arrive at least 5 minutes before the start of your scheduled payroll meeting.

 

STATUS 2

If you currently work on Virginia Tech’s campus or have received a paycheck from the university in any form (stipend, wage payment, etc.) in the past calendar year, please complete the following steps:

  1. Please download, complete (read and sign all sections), and email the New Employee Information Form to Tammy Fugate as soon as possible.
  2. You will be followed up with by Megan Hughes within the next week with some important supplemental on-boarding information, so please be on the lookout for that!
